Job Description:
The primary responsibilities are that of Bookkeeper for the Parish and St.
Michael’s School, along with being Secretary for the Parish.
Schedule:
Monday-Thursday 8:00AM-6:00PM (40/hrs Weekly)
Compensation:
$41,206 - $60,700 Depending on Experience
Financial Responsibilities:
Regular banking duties (see that all deposits are made and accounted for)
Manage all Checking & Savings Accounts - Church, School, Hot Lunch, Cemetery, Development, Capital Campaign, and Stipend
Create Purchase Orders, pay bills
Attend required Finance Council Meetings
Create yearly budgeting worksheets for meetings using excel program
Monitor All Budgets
Provide budget reports
Provide end of year report to parish/diocese
Purchase office supplies, church sacristy supplies and monitor janitorial supplies
Handle/manage all fund-raising money
Oversee that all donations are correctly recorded and accounted for in conjunction with the money counters
Maintain regular bookkeeping duties for parish/school/hot lunch
Payroll for employees/monitoring benefits through ADP
Responsible for billing bulletin advertisements and reporting UBIT (Unearned Business Income Tax) Returns
Ensure bills are current for bulletin revenue
Maintain accountable records of finances and data on system
Enter Family Aids checking information into income/expense worksheets for year- end reports and print out
Enter St.
Joseph's year end numbers into spreadsheet for year -end printout
Enter PTC's year end information into spreadsheet for year- end printout
Secretarial Duties:
Oversee preparation and printing of weekly bulletin (part-time office assistant helps)
Update the parish website and parish app weekly or more often if needed
Schedule and record all Mass Intentions
Answer phone/door
Maintain Sacramental Records
Maintain parish files
Prepare all new employee paperwork and send in to the diocese and state
Maintain safe environment records on all employees & volunteers as required by the
Diocese in accordance with the Diocesan
Safe Environment protocol and Code of Conduct policy
Maintain parish and school (Google) calendar/renting of facilities/key check out
Coordinate all parish mailings
Keep OND listings current
Notify the Diocese of all Marriages and Deaths
Coordinate and maintain parish census
Update OSV Envelope system with parishioner changes, second collection dates for both parishes
Prepare/print monthly calendar
Prepare/print Ministry schedules in conjunction with schedulers
Maintain and keep website and parish app current
Oversee office machines
Oversee groups and order rolls for hospitality
Help plan and organize parish events
Update all manuals as needed
