Residence Hall Assignment Coordinator 494367 Grand Forks, North Dakota, United States Housing Residence Student Services Full-time Staff Closing on: Mar 4 2024 Salary/Position Classification $39,500 Annual, Non-Exempt (Eligible for overtime) 40 hours per week 100% Remote Work Availability: No Hybrid Work Availability: No Purpose of Position The Assignments Coordinator, Residence Halls assists in the administration and management of residence hall assignments and has primary responsibilities related to assigning residential students to residence hall rooms, supervision and day-to-day monitoring, reconciling and auditing of the assignments, room change process, meal plan and ensuring levels of customer service are maintained.
This position will also provide training to residence hall supervisors and support staff related to room assignments process.
Duties & Responsibilities Administer and provides day to day management of residence hall assignment processes.
Maintain and regularly audits students' assignments, occupancy reports, enrollment status relative to housing eligibility, exemption status, cancellations, billing, No-Shows, hall transfers, etc.
Trouble shoot and follow up as appropriate to address discrepancies Administers the room assignment lottery process, compiling and building appropriate databases, scheduling lottery processes Receive and evaluate requests for special circumstances housing assignment considerations (medical, ADA, etc.
) Prepares letters or forms such as housing assignments notifications, leasing agreements, inventory lists, and related other notifications using a personal computer Provides training and direction to residence hall supervisors, service center and other support staff related to the residence hall assignment and leasing processes and procedures Oversees the change request process for residents in regard to halls, rooms, roommates, and meal plans Reporting, auditing, systems administration.
Monitors and audits reporting to ensure correct information exchange between housing assignment software and other campus systems, etc.
Troubleshoots issues and works directly with NDUS contacts to correct errors or problems with systems interfaces as requested by supervisor Records maintenance and management; ensures adherence to records maintenance, confidentiality, and related university and departmental policies Makes recommendations to the Assistant Director of Operations related to process and communication improvements Prepares weekly reports and data to ensure a fluid process to residents and staff Customer Service/Student Support Works with supervisor and departmental marketing personnel in communicating important deadlines and related information to students, parents and other constituents Greets and maintains high levels of customer services addressing callers, students, parents, guests, co-workers, and University personnel in a friendly and helpful manner Follow up with students, parents and others as necessary to resolve assignment related issues Represent Housing at university recruiting and orientation programs; serve as a resource answering questions related to assignments, leasing, housing eligibility and general services Required Competencies Knowledge of basic accounting, mathematical calculations, database administration Advanced knowledge and proficiency in word processing and spreadsheet applications and software Ability to organize and complete tasks independently and accurately Ability to organize workflow, and coordinate multiple details, projects, and priorities Ability to perform work requiring technical and analytical skills Excellent oral and written communication skills Minimum Requirements Associate's degree 1+ years’ experience managing multiple projects and priorities 1+ years’ experience in an office or educational environment 1+ years’ experience in an active customer service role Successful completion of a Standard Criminal History Background Check In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the US and to complete the required employment eligibility verification form upon hire.
