______________________________________________________________________ Position Overview: The Total Rewards Leave Associate is responsible for the day-to-day facilitation of leave of absence and ADA requests.
This position will serve as the primary contact for team members and serve as the first-tier liaison for our leave administrator, team members, payroll and supervisors.
The Leave Associate will help support team members through the leave of absence and accommodation request process from start to finish while managing the day-to-day administration of all leave and ADA programs.
The position is responsible for the coordination of the return-to-work process and will work closely with the Leave Partners and Employee Relations to resolve complex leave and return to work situations.
Ensures adherence to policies, procedures and regulatory requirements and escalates complex or challenging cases to the Leave Partner or others as needed.
Participate and contribute to the Total Rewards Team.
This is a Full-time (40 hours) position with required onsite (three days minimum) attendance in Thief River Falls, Minnesota.
Responsibilities: Responsibilities: Maintain solid working knowledge; proficient understanding and application of regulations, policies, procedures, including eligibility requirements, for federal, state, and company-provided leaves of absence.
Responsible and accountable for protecting personal health information, maintaining a high level of confidentiality and abiding by HIPAA and PHI rules and regulations.
Independently complete various day-to-day administrative tasks including data entry, running reports, auditing, leave tracking, and email communications.
Act as liaison with employees, third party administrators, managers, HR Business Partners, Employee Relations and other internal and external partners regarding the leave process including, but not limited to, eligibility, approvals/denials, return to work process and extensions.
Coordinate return to work efforts for employees completing leave while considering any necessary accommodations.
Engage team members during the leave process with a customer facing attitude, advocating to resolve any intricate leave claim issues between the team member and third-party leave administrator.
Facilitates communication between team members, management, HR personnel and legal as necessary.
Educate team members on leave processes and procedures; ensures compliance with all State and Federal laws as it relates to FMLA, ADA, Short-term and Long-term Disability and other leave and accommodation requirements.
Audit leave of absence data and third-party administrator transactions regularly to ensure accuracy.
Drive success by providing an excellent employee experience throughout the leave of absence cycle providing a supportive, personalized end-to-end experience using a combination of tools to manage, communicate and update at all stages of a leave.
Act responsively, accurately, and with attention to detail in a considerate and timely manner with your assigned customers.
Ability to speak and write clearly and concisely Recognize when to ask for help and raise procedural irregularities Actively participate in team meetings providing feedback, solutions, and suggestions.
Interface and collaborate comfortably with a variety of key parties: team members on leave, HR/payroll teams, external agencies, employee care providers, etc.
through various methods of communication (phone call, email, video chat).
Required Knowledge, Skills and Experience: 1+ year of program administration and support experience 1+ year of experience in customer service Intermediate or above skills for use of Microsoft Excel Experience in data processing, document management and customer engagement Post secondary education of associates or greater, or FMLA and Leave Administration Certification, or SHRM-CP®, SHRM-SCP®, PHR® or SPHR® Certification preferred, or Combination of equivalent work experience and education 1+ years of Human Resources experience, preferred ADA Accommodations and the Interactive Process experience, preferred HRIS systems and/or Workday experience, preferred Technical proficiency in PHI, HIPAA, ERISA, and benefit compliance requirements, preferred Tools / Systems / Software: Full Microsoft Office Suite, including Teams Outlook Workday SharePoint Physical Requirements: Generally, spend the workday sitting at a workstation and operating computer devices, such as, but not limited to keyboard, mouse, and screen Often traverse between various areas across large facilities Generally, spend the workday performing repetitive motions that involve or affect the hands, head, and other parts of your body DigiKey Electronics is an Equal Opportunity Employer.
