High School Graduation plus four years of related office experience, training/education may be substituted for some of the years of experience.
Computer experience required.
Specific knowledge/skills may be required.
PREFERRED QUALIFICATIONS:
Bachelor’s degree in a relevant field.
Extended experience setting up and organizing various types of events, budgeting skills, experience ordering and maintaining materials; processing business expenses; experience supervising undergraduate students in a laboratory setting; experience using MS Office demonstrated hardware interface skills; and excellent communication/time management/interpersonal skills.

JOB SUMMARY:
Works with the Facilities and Operations Department Director, Supervisor and Staff and has the responsibility for the coordination of various campus locations, fleet pool, site access, and incoming maintenance requests.
This position is responsible for ensuring timely response to requests that are in accordance with the University of Minnesota’s policies and procedures.
PRIMARY RESPONSIBILITIES:
Administrative Support (85%)
Manages key generation and distribution.
Manages access lists for door access controllers.
Is the point of contact for updating list and door controller schedules.
Facilities representative for major campus events including planning and setup.
Manages additional event and special room set up requests.
Manages room reservation in Astra software.
Manage Fleet pool reservations, maintenance, and cost tracking.
Point of contact for insurance and registration of campus Fleet vehicles.
First point of contact for Facilities work order requests.
Provide additional administrative support
Reporting (10%)
Manages and prioritizes backlog of Facilities work orders.
Generates purchase order requests for Facilities and other campus Departments.
Posting classroom schedules in classrooms and in Astra software.
Must retain working knowledge of available funding resources on campus.
Initiate and manage ordering of Departmental supplies from internal and external vendors.
Supervision (5%)
Manage timesheet submittals of all Facilities employees each payroll.
Designated Responsible Authority (DRA) point of contract for Fleet services on campus.
