The purpose of the Department Assistant/Receptionist is to assist in managing the day to day administrative tasks of the Student Engagement office.
This position will provide the first impression at our front desk and will assist any individual visiting the Student Engagement office.
They will perform regular office duties such as scheduling appointments for academic advisors, assisting with student questions regarding their academic career and generating data for strategic enrollment management initiatives, assist with various needs related to student record management, travel reimbursements, and processing payments for expenses.
Duties & Responsibilities First point of contact for the Student Engagement Office Greet and assist visitors.
Assist with conference room and interview room scheduling via Outlook Assist students with process to declare major, change major, apply to graduate, pre-advising, completing forms, and setting up appointments on Starfish/Civitas, etc.
Provide an overview of services to prospective students and families.
Assist with Freeman Professional Closet donation and collect donor contact information Manage domestic and international travel, conference registrations and expense reports Create and maintain spreadsheets for current, incoming, and outgoing students Prepare and distribute information regarding students’ status (honors, probation, dismissal, holds, Dean’s List, President’s List, etc.
) using Starfish.
Collect data for reports (enrollment, majors, transfers, readmits, etc.
) from UND Office of Analytics & Planning, Perceptive Content and Campus Connection that will assist with reporting to various entities such as AACSB.
Assist with communications to prospective students Assist with career fairs and other career-related events Coordinate ordering and inventory of all promotional items for the Student Engagement Hub using proper purchasing procedures.
This may include selection of items, ordering and approval process, expensing, and maintaining inventory.
Point of contact for all document disposal following the Office of Records Management timeframes and procedures and coordinate secure disposal pickup process Assist Dean’s Office as needed Attend professional development training as required by supervisor Assist at least one graduation ceremony per year Required Competencies Ability to communicate effectively, both oral and written communication Excellent and personable communication skills.
Must be resourceful, self-directed and work with little supervision.
Must have comprehension of administrative logistics of event coordination and strong attention to detail.
Must be flexible; able to work and adapt in a fast-paced, ever-changing environment.
Demonstrate ability to multi-task and function with a high degree of accuracy.
Demonstrate ability to work individually as well as part of a team.
Ability to promote a friendly and positive attitude and environment in day to day communications and activities Capable of handling challenging situations with discretion Requires strong attention to detail and organizational skills Minimum Requirements High School Diploma One year administrative experience in a professional office setting that includes receptionist duties Experience with MS Office, Word, Excel, and Outlook Resume is required for application process Successful completion of a Criminal History Background Check In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the US and to complete the required employment eligibility verification form upon hire.
