*SUMMARY:* The HR Administrative Assistant supports critical operations of Spectra Health; working primarily with the Spectra leadership team on human resources related issues.
The position requires excellent written and oral communication skills as well as the ability to multi-task meeting various deadlines in a timely and efficient manner.
The HR Administrative Assistant must be detail-oriented, dependable, trustworthy, and demonstrate responsibility with sensitive and confidential information.
This position reports to the Director of Operations.
*ORGANIZATIONAL DUTIES AND RESPONSIBILITIES*

*ESSENTIAL JOB FUNCTIONS: *
* Responsible for posting positions with internal and external resources, reviewing resumes, and scheduling interviews with qualified candidates.
* Maintains company personnel files in accordance with state and federal compliance requirements.
* Responsible for various office tasks including, but not limited to preparing, organizing, and storing information in paper and digital form, dealing with queries on the phone and by email, scheduling meetings, filing, report generation and presentation.
* Coordination of various company engagements including, but not limited to internal agency meetings, off-site meetings, and the coordination of travel arrangements.
* Coordinate, organize, maintain, and distribute agency policies as they are created, edited, or archived.
* Facilitate and coordinate communication with the board of directors.
Support preparation and distribution of monthly board packets.
Coordinate policy dissemination to board subcommittees as needed.
* Responsible for scheduling company meetings, preparing various reports, assisting with slide presentation(s), and follow up on required action items.
* Attendance at designated company meetings, including responsibility for facilitation of meeting minutes.
* Greet and assist visitors to the administrative department and assist with limited patient reception duties as needed.
* Facilitate internal mail processes.
* Maintain polite and professional communication via phone, e-mail, and mail.
* Assist with updating and maintaining agency social media accounts.
* Other duties as assigned.
*JOB QUALIFICATIONS: *
Required:
* High school diploma or equivalent certificate
* 2 years of experience working in an office setting
* Ability to work independently
* Attention to detail
* Ability to multitask and self-prioritize
* Strong written and oral communication skills
* Proficient with various computer applications and software
Preferred:
* Two to Four-year degree in a related field
* One year of grant writing experience.
* Experience working in a healthcare setting.
* Prior administrative experience
*PHYSICAL REQUIREMENTS: *The HR Administrative Assistant position is primarily a desk job that requires the ability to sit for long periods of time (up to 8 hours) at a desk or workstation.
Periodically, the position requires lifting or carrying items that would be appropriate in an office environment, not more than 20lbs.
